The extra-curricular programme is organised on a voluntary basis by PTA members. As ESLJ is a small school, maintaining enough participants in each activity is essential — most providers require a minimum number of children to run a class and depend on a stable, predictable income to commit their time.

To ensure this, we have standardised processes for registration, payment, and communication. We kindly ask all parents to follow these procedures, act on time, and keep messages concise. This allows us to manage the programme efficiently and ensure activities remain sustainable, high-quality, and fair for all involved.

• Registration Fee: A USD 7.00 administration fee per child, per semester will be charged. This fee is fixed per child, regardless of the number of activities enrolled in, and is used to cover the registration platform and other costs. If we are unable to position a child in a class, the registration fee will be refunded.

• Payments: Activity fees are paid directly to providers on a monthly or semesterly basis. Payments will only be requested after the third week of lessons, once activities are confirmed. If a child withdraws before this point (in the first semester), no payment will be required.

• No Refunds Policy: To ensure stability and help providers plan effectively, no refunds are given for absences — except in the case of a justified absence of more than three weeks. This helps maintain the critical mass needed for each class to run.

• Pick-Up Time: Children must be picked up promptly. If a child is authorised to leave alone, parents must inform the provider via the registration form.

• Feedback: The PTA will circulate a short feedback questionnaire once per semester. Parents are strongly encouraged to complete it to support ongoing quality assurance.

• Absence Notification: It is not necessary to inform providers of absences (except for individual music lessons). The teacher will notify the provider at pick-up.

• Enrolment: All registrations must be completed exclusively via the web form on the PTA website. No other forms of subscription will be accepted.
